OUTPOST is committed to keeping high standards of privacy and data protection. This privacy notice lets you know what happens to any personal data that you give to us, or any that we may collect from or about you. 

It won't cover the full detail of each of our fair processing activities, so please contact us if you need further information on how we manage and process data at OUTPOST.

2. who we are

OUTPOST is an artist-run charity, based in Norwich, committed to the uncompromising presentation of contemporary art. OUTPOST was founded in 2004 and became a Charitable Incorporated Organisation under the name of #FBF696 in 2014 with Charity Number 1165944, trading as Norwich OUTPOST. 

OUTPOST currently runs two artistic programmes; The OUTPOST Core Programme supports upcoming and emerging artists, students, and OUTPOST Members. The OUTPOST Creative Programme, which is part funded by Arts Council England, focuses solely on supporting individuals from working class/lower socio-economic backgrounds.

We currently collect and process the following information:

  • Contact information such as your full name, email, and telephone number

  • Records of registration at our events

  • Records of subscriptions to our e-newsletters, including whether you have opened them

  • Records of your donations, including value and frequency

  • Records of your memberships, including value and length

  • Photographs, video and/or sound recordings of events for use in printed and electronic media, or for promotional and archival use 

4. how we get personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • Sending an RSVP to an OUTPOST event

  • Signing up to the OUTPOST e-newsletter

  • Making a donation to OUTPOST

  • Signing up for an OUTPOST membership

  • Attending an OUTPOST event

  • Sending an Artist, Steering Committee or Trustee expression of interest

We use the information that you have given us in order to:

  • Manage and record attendance at OUTPOST events to help us improve our programming

  • Accept donations and analyse donation statistics to improve our fundraising work

  • Supply digital and print services such as e-newsletters, website material, social media material and flyers

  • Gather and analyse statistics around email opening, website and social media traffic to help us improve our digital products 

  • Supply information as required by our funders


    5. lawful bases for processing data

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

  • Your consent. You are able to remove your consent at any time. You can do this by contacting questions@norwichoutpost.org.

  • We have a contractual obligation, such as processing a donation or purchase

  • We have a legitimate interest for processing your data to help us carry out our organisational interests

  • We have a legal obligation, such as complying to UK laws 


6. sharing your personal data with third parties

We will only share your data in the following specific circumstances:

  • With our funders for mandatory reporting purposes, particularly in relation to participation. All data will be anonymised and unidentifiable unless we have obtained your consent to share with a named funder

  • In some circumstances we may have a legal obligation to share information for law enforcement purposes, such as to cooperate with investigations or in line with a court order

7. how we store your personal information 

Your information is securely stored. We take due diligence when using third party services and cloud services to process personal data, to make sure that they are reputable and have appropriate data protection practices in place.

We make sure that we don’t collect more personal information than we need to carry out our activities.

You can request that we erase any personal data we hold about you at any time. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
